AIC Program Assistant (Part-Time)

Position Description

Temple University’s Center for Community Partnerships is seeking applicants for a Program Assistant at the Philadelphia Achieving Independence Center (AIC). The Program Assistant (Part Time) will assist and support Temple full time staff, providing academic and educational support services and resources.

Responsibilities:

The Achieving Independence Center provides services to youth aging out of the foster care system.  Temple University provides educational supports to AIC members, which includes providing homework assistance, tutoring, help with applying to colleges, universities and other post-secondary training programs.  The Program Assistant will:

  • Provide outreach to AIC members (students) in person, via phone and email
  • Meet with AIC members individually regarding educational needs and supports
  • Document AIC member contacts thru database
  • Facilitate college/career preparation workshops
  • Manage Academic Resource Aides tutoring schedules
  • Assist and support all AIC education related special events
  • Create, post and maintain education related posters, brochures, and bulletin boards
  • Participates in job related trainings.
  • Interacts professionally in person, over the telephone, and virtually with a diverse client and staff population, in a friendly and patient manner.
  • Demonstrates excellent customer service, communication, and interpersonal skills
  • Demonstrates proficiency in written and verbal communication, i.e., grammar, formatting, writing, verbal communication style/tone, etc.

Qualifications:

This Part Time position requires a minimum associate degree, or a diploma from an accredited post-secondary vocation/technical program. Experience working with youth between the ages of 14 to 21 years old is desirable. This position has a two-year (from point of hire) duration limit. Special consideration given to applicants who have experience with the Child Welfare (foster care) system.

Note:  This is a grant funded position for two-years.  Individual must be available to work from 3:00 PM to 7:00 PM.

WELL Literacy Instructor (Full-Time)

Description

The WELL Literacy Instructor will provide basic adult education and literacy instruction in a workforce context to participants in the WELL Program at the TU-Center for Community Partnerships (TU-CCP), on main campus and remotely as assigned, within the Philadelphia community. 

WELL Literacy instructors are expected to be flexible regarding work hours and instructional content. Candidates must be knowledgeable of adult learning/educational principles and practices, should be able to demonstrate the ability to develop lesson plans, teach, motivate, and relate positively to adult learners; learn and utilize educational tools, websites, instructional resources and technologies effectively; successfully access and apply PA educational standards for College and Career Readiness (CCRS) and Common Core Standards (CCS); be knowledgeable of Philadelphia Dept. of Education (PDE) instructional guidelines for adult education and literacy. This position reports to the WELL Program Manager. Performs other duties as assigned.

WELL Intake and Assessment Specialist (Full-Time)

Position Description:

Working as a core member of the recruitment and program improvement team of Temple’s Workforce Education and Lifelong Learning (WELL) Program, which is an Adult Literacy Program to help individuals attain their high school equivalency.  The FT Assessment Coordinator oversees the day-to-day standardized and proprietary assessment activities conducted on main campus and remotely. The assessment coordinator is responsible for the administration of PDE division-approved standardized assessments and other assessments approved by WELL. The candidate will develop and coordinate testing strategies, procedures, and scheduling; facilitate pretests and posttests for students entering or exiting the WELL Program; develop assessment scheduling strategies including tickler systems, explain testing options, accommodations, and EFL scores to students; track, verify, and enter data into multiple data systems; secure assessment data and materials, troubleshoot testing issues; and oversee proctor training and credentialing. The applicant must have hands-on experience with paper based and online standardized adult testing instruments and demonstrate excellent computer, internet, database, typing, data entry, and computer troubleshooting skills. This position reports to the WELL program coordinator.

Responsibilities:

  • Coordinates and facilitates standardized group and individual test administration of CASAS, TABE, NorthStar, and other student assessment instruments as assigned.
  • Plans, develops, and coordinates assessment procedures, policies, and schedules; ensures adequate staffing for the administration of paper-based and remote operations for all locations.
  • Performs assessment software installations and updates, including performance testing and basic troubleshooting of software and desktop/laptop issues; escalates issues to vendor or Temple IT as appropriate.
  • Contacts assessment publishers and PDE as needed to ensure program compliance; assists program coordinator with maintaining adequate supply of testing materials.
  • Monitors the administration of student assessments by proctors; ensures that test instructions are accurate and appropriate testing environments are maintained.
  • Performs quality checks; configures and operates test scoring equipment, as applicable.
  • Provides direction, information, and advisement to students and prospective students regarding program enrollment, testing policies, procedures, and outcomes.
  • Ensures that all test administration is carried out in compliance with test publishers, PDE, and relevant programmatic guidelines, policies, regulations, and standards.
  • Ensures confidentiality of test results; maintains security of testing materials and score reports.
  • Attends assessment related trainings and keeps informed of advancing technology and changes in standardized adult test administration.

WELL Data Entry Specialist / Program Aide (Full-Time)

Position Description:

The Data Entry Specialist/Program Aide will provide support for the fast-paced day-to-day operations of the Temple WELL program. He/she will assist in the receiving of clients, providing administrative support, entering data into data systems, timely filing of paper and electronic documentation, and demonstrate excellent digital literacy and writing skills. This position reports to the WELL Program Coordinator.

Responsibilities:

  • Answers and forwards calls/emails, welcomes and directs clients and visitors in a friendly manner.
  • Escalates calls/emails and issues to administrator or leads as appropriate
  • Participates in client contact including recruitment, data collection, creating/updating contact lists, email blasts.
  • Understands and follows program instructions, guidelines, procedures, and policies related to Temple, WELL, LCCWP, PDE, CFS, etc.
  • Performs computer related functions: entering data, creating/formatting written documents, certificates, spreadsheets, online forms, etc. 
  • Helps with production and distribution of materials: copying, filing, preparing/submitting large print jobs, binding, faxing, etc. 
  • Performs information processing, upkeep of filing system, securing /maintaining files, attendance, student records, staff documentation, etc.
  • Assists with recruitment, orientations, assessments, workshops, special events and activities.
  • Makes room reservations and arranges logistical set-up for classes and events. 
  • Attends and prepares minutes of meetings and events.
  • Maintains contact with supervisor on a daily basis.
  • Orders, manages, and secures office resources, e.g., computers, supplies, equipment, keys, etc.
  • Participates in job related trainings.
